Hi there Caroline!

I know that you were looking for free tools, but I thought I would add our tech setup for reference.  We’re a distributed team of 5 (NYC, SF, LA) that have grown to LOVE our setup.

This will go a bit beyond the project management ask.

Project management: basecamp
Keeps it very simple.  Extremely responsive interface and a pleasure to use.  Feels very personal.  Lot’s of intelligent alerting systems built in.  Wonderful daily summaries by email.  The ‘Progress’ tab also brings you quickly up to speed on all recent activity.  You can start an account and then downgrade to $20/month.

Group chat: Flowdock
Moden interface, and great community ‘inbox’ that you can feed with alerts from basecamp, wordpress, twitter, new relic, etc., to keep everyone in the look on company related news and actions.  Free for up to 5 users.

Collaborative documents: Google docs
Free, excellent.

Video chat: Google Hangouts
Free, adequate.

Web app monitoring: New Relic
Free for early stage apps, very robust.

Bug and feature documentation: Skitch
Free, absolutely essential.

Private note taking: Evernote
Free, great repository.  Good apps.  Note that Evernote really falls down on collaborative note taking (we use google docs for this), because it syncs every 10 minutes, which creates constant version control issues in shared folders.

Version control for software: Git
Free, simple, effective.
